Privacy notice
How Harris Grant Properties CIC collects, safeguards, and respects your personal and referral information in supported accommodation services across the East Midlands.
Overview & regulatory framework
Applicable to all referrals, tenancies, support programmes, and partner communications.
1. Who we are and our role
Harris Grant Properties CIC operates as a registered Community Interest Company delivering supported accommodation and independent living pathways for adults aged 21 and over across the East Midlands.
Under UK data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018, Harris Grant Properties CIC acts as a Data Controller for the personal information collected from prospective residents, current tenants, referrers, local authority partners, and community stakeholders. We are dedicated to upholding the highest standards of transparency, confidentiality, and respect in all processing activities.
2. Types of personal and referral information collected
We only collect personal information that is strictly necessary to assess eligibility, provide safe accommodation, and deliver tailored independent living support.
This information may include: full legal name, date of birth, contact details, emergency contacts, national insurance number, housing and tenancy history, financial assessment details, and relevant professional references. In order to carry out our supportive function, we also receive formal referral documentation submitted by local authorities, NHS trusts, housing officers, or third-sector caseworkers.
3. Legal bases and methods of use
We process your data strictly under lawful conditions defined within Article 6 of the UK GDPR.
Our primary legal bases include: Performance of a Contract (administering tenancy agreements, occupancy licences, and support plans), Legal Obligation (statutory reporting, health and safety regulations, and housing law compliance), Vital Interests (protecting the life or physical safety of a resident or another individual in emergency situations), and Legitimate Interests (evaluating service efficacy, property maintenance, and community safety where not overridden by individual rights).
4. Handling of sensitive referral records (Special category data)
Referrals frequently contain special category personal data relating to health, care needs, or vulnerability.
In accordance with Article 9 of the UK GDPR and Schedule 1 of the Data Protection Act 2018, special category data (including physical or mental health details, disability support requirements, and safeguarding history) is processed under specific statutory exemptions. These include the provision of health or social care support, safeguarding of vulnerable adults, and explicit consent where provided during the initial referral assessment.
5. Information sharing with statutory and partner agencies
We never sell, rent, or commercialise personal data. Information is shared strictly on a confidential need-to-know basis with trusted partners.
Where essential to resident welfare, tenancy maintenance, and statutory requirements, records may be shared with: referring local authority housing departments, adult social care teams, community healthcare providers, emergency services (police, ambulance, fire service) in critical incidents, and contracted property maintenance contractors who uphold signed confidentiality agreements.
6. Data storage, retention, and security safeguards
Personal records are protected using robust technological and physical safeguards designed to prevent unauthorised access, alteration, or disclosure.
Electronic data is stored on encrypted, access-controlled UK-based cloud servers. Physical documentation is held in secure, locked premises with restricted staff access. We retain records only for as long as necessary to fulfil contractual and regulatory obligations, typically up to six years following the conclusion of a tenancy or referral, after which data is securely destroyed.
7. Individual statutory rights under UK GDPR
You retain clear statutory rights over your personal data that can be exercised free of charge at any time.
Your rights include: the right to be informed about how your data is used; the right of access to copies of your personal records; the right to rectification of inaccurate or incomplete information; the right to erasure ('right to be forgotten') where retention is no longer legally required; the right to restrict processing; and the right to object to processing based on legitimate interests.
8. Concerns and the Information Commissioner's Office
You have the statutory right to raise a data protection inquiry directly with us or lodge a formal concern with the national supervisory authority.
If you have any questions regarding how your records are handled, or wish to exercise any statutory right, please contact our Data Protection Lead at admin@hgpropertiescic.co.uk. If you remain dissatisfied with our response, you have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK independent body set up to uphold information rights.
Exercising your rights or lodging a concern
If you have questions about how your referral or tenancy records are stored, wish to update your details, or want to make a formal data rights request, our team is directly contactable.
